Exhibitor Set Up & Delivery
You will need to pick up your materials from the airport warehouse on Thursday, December 8 between 2:30pm – 3:30pm ONLY, and drop off at Hangar #2 between 4:00pm – 6:00pm**.
  1. You can deliver items to AA Hangar #2 on Thursday, December 8, between 4:00pm - 6:00pm. These items will be stored at the hangar overnight. These items will not be locked up or secured, so please do not leave any items you feel should be locked or secured. Please tape close your boxes and label your company/organization name on the outside. Most exhibitors bring their brochures, booth displays, back-drops, give-aways, etc. You can also try contacting Gwynne Horton with American Airlines at 972-425-3569 or 817-994-0248 (cell) regarding delivery to Hangar #2 on Thursday, December 8th.

    If you have a large item display**, such as vehicles, trailers, etc., please do not bring these items until Friday, December 9th, between 5:00am - 7:00am.
     
  2. All other items can be brought in and set up on Friday, December 9, between 5:00am – 8:00am. Please ensure your display area is complete by 8:30am.
**IMPORTANT DELIVERY INFORMATION FOR LARGE ITEMS**
On Friday, December 9th, for all deliveries of large items, please ensure that your large delivery truck arrives between 5:00am - 7:00am. After 7:00am, we will start putting the aircraft in place and it will become more difficult for the large delivery trucks to access the hangar from AOA side of the hangar. All large delivery trucks that arrive between 5:00am - 7:00am, please do not come to the hangar. They must go to West Airfield AOA gate #148, located at 1725 W. 19th Street, DFW Airport, TX 75261, off of West Airfield Drive (by Fire Station #2). Instead of turning on 16th Street from West Airfield Drive to get to the hangar, large delivery trucks must go to 19th Street from West Airfield Drive. We will have DFW Airport airfield personnel at this gate that will escort the trucks onto the hangar ramp. Please remind the driver to have a photo ID (driver's license), since they will be escorted onto the airport's secure area.

Exhibitor Hangar Check-In
It is imperative that we have a correct headcount of your booth attendees on your registration form. Exhibitors will check in at hangar entrance and indicate which company/organization you are with. You will be given a badge that says "EXHIBITOR." Along with the badge you will be given two color tickets—one breakfast ticket and one lunch ticket. You must keep these tickets and present them when you go into the break area for breakfast and lunch. The hangar is a working environment and the ticket system is the best way we can determine which individuals are expo participants.

All flight crew will receive a badge that says "EXHIBITOR- Flight Crew." Jay Dixson will pick up these badges and hand out to flight crew

Exhibitor Parking at AA Hangar #2
  1. Parking at AA Hangar #2 is limited. If there are no parking spaces available when you arrive, please unload at the hangar. Once you unload, you will be directed to the parking lot designated for the Expo. There will be buses running constantly from the parking lot to the hangar. You can ride the bus back to the hangar from the parking lot.
     
  2. Bus will start running from hangar to parking lot, starting at 6:30am for exhibitors.
Exhibitor Breakfast/Lunch
Breakfast will be available starting at 6:00am until the food runs out. The later you arrive, the less chance of food bounty left. Lunch will be available starting at 11:00am. You will be asked to hand over your breakfast or lunch ticket upon entry to break area.

Exhibitor Treasure Map
For those exhibitors who submitted questions for the treasure map, you will be provided one or two rubber stamps for your table. Students must engage in conversation with your representatives in order to get the answer. Once they receive the answer, please stamp their treasure map. This will be verification that the student actually received the answer from you and not received the answer from another student.

Aircraft Display Arrival/Departure

Our arrival window for the December 9, 2011 Aviation Expo is 0700 to 0800. However, please note that this is a preferred window for convenience. If aircraft arrive beyond 0800 they will not be turned away, but they could experience longer wait times in arrival sequencing due to increased commercial traffic expected at 0800. Additionally, we plan to have our ramp secured by 0900. Again, please plan on ensuring your aircraft is positioned and parked for static display by 0800, and no later than 0845.

Please remain clear of Class B Airspace until clearance has been received.

West arrivals, contact regional approach control 118.1

East arrivals, contact regional approach control 124.3

Approach control will provide Tower freq and runway (for planning purposes, please note East Tower Unicom is 126.55, and West Tower Unicom is 124.15).

Please advise ATC upon landing that you are attending the Aviation Expo at American Airlines Hangar 2.

Aircraft Departure
The 2011 Expo is scheduled to end at 1330, however, flight crews may begin to prepare for departure as soon as the ramp is clear of students and attendees.
